 VCCS New Horizons 2009 Frequently Asked Questions

This section will be regularly updated as we get more questions about the conference. Please check back frequently. How much does it cost to register for the conference?

I entered in some wrong information into the participant registration form. How do I correct that? Should I re-enter my information?

Please do not re-enter your information as we need accurate registration counts for our meals. Just email the New Horizons Registration Team at newhorizons@vccs.edu.  We will make sure we correct your entry and email you another registration confirmation.

I registered online and did not get an email registration. Why?

A couple of things could have happened. You may have entered your email address incorrectly. If that is the case, we get a notification that an email address has been incorrectly entered and we will locate the person with the correct email address, make corrections and send them another email confirmation. Sometimes everything is entered in correctly and the email confirmation is sent directly to your junk mail or blocked by your mail settings.

I am a presenter at the conference. Do I need to register? Do I need to pay a registration fee since I am presenting?

Everyone needs to register and pay the registration fee for the conference as a participant . This covers conference expenses which are very reasonable. Please register now if you have not done so.

Since VCCS policy is to pay one night’s lodging per VCCS conferee we do need a completed registration for everyone, presenters and attendees alike.

 

I registered as a participant for New Horizons, does this include my Hotel Registration as well? Are they one in the same?

They are not the same. The participant registration covers the conference expenses only. You must call the hotel to register. Please see the Hotel Information area of this site which will explain about the Hotel Roanoke Room Raffle and the Roanoke Plaza information.

Who pays for my hotel room? (This applies to VCCS employees only).

VCCS policy regarding housing for New Horizons is:

  • The VCCS room rate for 2009 is $126 for single or double occupancy.
  • The VCCS will cover one night’s lodging and tax for every employee whose campus is 50 or more miles from the Hotel Roanoke, full-time and adjunct alike.
  • Employees who share a room are entitled to two nights’ coverage (one night per employee). The name of the roommate must be listed with the hotel.
  • Employees who book as a single are responsible for the second night’s accommodations themselves.

I am paying for my own registration. When do I pay?

If you are paying for your own registration, you will receive an electronic invoice after the cancellation deadline.

I have to cancel my registration. How do I do this?

Please contact newhorizons@vccs.edu as soon as possible. Please be aware of our cancellation policy below.

Cancellation deadline for participant registration is March. 10, 2009. Cancellations between March 10 - March 20, 2009 will be charged a $50.00 processing fee. Cancellations after March 20 will be charged the full registration amount.

I have some food allergies. Who do I contact about this?

Please contact newhorizons@vccs.edu  and let us know of your needs (i.e. gluten-intolerance). We will flag your registration, inform the banquet staff of your special dietary needs in advance and include a special place card for your meals. When you check in at the VCCS New Horizons Registration table, please be sure to pick up your special meal place card. Hold on to that place card. You will need it for each plated meal. They do their best to accommodate the needs our eating guests.
